Event Set-Up/Break Down

Details

Role Purpose:
Support the smooth flow of the event by helping prepare the space before participants arrive and assisting with clean-up once the event concludes.

Responsibilities:
   •   Assist with unloading, carrying, and arranging event materials (tables, chairs, tents, signage, banners, decorations, etc.)
   •   Set up registration/check-in areas, vendor booths, and activity stations
   •   Place directional signs, posters, and other event signage
   •   Help set up stage areas, audio/visual equipment, and water stations (as directed)
   •   Break down and pack up tables, tents, and equipment at the end of the event
   •   Assist with loading supplies back into vehicles or storage
   •   Ensure the event area is left clean and orderly

Skills Needed:
   •   Ability to lift, carry, and move event materials (up to 25–40 lbs)
   •   Teamwork and willingness to follow instructions
   •   Positive attitude and flexibility in a fast-paced environment

Details

Role Purpose:
Welcome participants with a smile and ensure a smooth check-in experience so everyone feels prepared and excited for the event.

Responsibilities:
   •   Greet participants, survivors, vendors, and guests as they arrive
   •   Check in pre-registered participants and provide event materials (wristbands, bag.)
   •   Register same-day participants and assist with forms or payments (if applicable)
   •   Direct participants to t-shirts pick-up, vendors, or activity areas
   •   Answer general event questions and provide a warm, helpful first impression
   •   Keep registration tables organized and stocked with supplies
   •   Assist with tallying final numbers for event records

Skills Needed:
   •   Friendly, welcoming personality and strong people skills
   •   Basic organizational and communication skills
   •   Comfortable using paper or electronic check-in systems (training provided)
   •   Ability to remain calm and helpful in a busy environment

Snack and Water Station

Details

Role Purpose:
Keep participants refreshed and energized by providing snacks, water, and encouragement along the route and at the event site.

Responsibilities:
   •   Set up and organize water and snack stations before participants arrive
   •   Hand out water, snacks to walkers, survivors, and guests
   •   Refill supplies as needed to ensure stations remain stocked
   •   Keep tables and the surrounding area clean, safe, and welcoming
   •   Cheer on participants and offer words of encouragement as they pass by
   •   Assist with breakdown and clean-up of the station after the event

Skills Needed:
   •   Friendly, enthusiastic, and encouraging personality
   •   Ability to work in a team and interact with participants of all ages
   •   Comfortable standing for extended periods and handling food/water supplies
   •   Basic organizational skills to keep the station tidy and well-stocked

Route Cheerleader

At least 16 more volunteers needed.

Details

Role Purpose:
Bring the energy! Route Cheerleaders keep spirits high by motivating, cheering, and encouraging walkers every step of the way.

Responsibilities:
   •   Stand at assigned spots along the walk route to cheer on participants
   •   Use signs, pom-poms, noisemakers, or your voice to energize the crowd
   •   Clap, cheer, and shout words of encouragement to walkers and survivors
   •   Help direct walkers with smiles and positive energy if needed
   •   Create a fun, uplifting atmosphere for participants of all ages
   •   Assist with clean-up of any props or signs used at the end of the event

Skills Needed:
   •   Outgoing, enthusiastic, and energetic personality
   •   Strong communication and people skills
   •   Ability to stand and cheer for extended periods
   •   Creativity in making chants, or cheers (optional, but encouraged!)

General Volunteer

At least 4 more volunteers needed.

Role Purpose:
Be the first friendly face participants see! Greeters and Information Hub volunteers welcome guests, answer questions, and make sure everyone feels comfortable and informed.

Responsibilities:
   •   Greet participants, survivors, vendors, and families as they arrive
   •   Direct guests to registration, survivor check-in, vendor areas, restrooms, or event activities
   •   Staff the Information Hub to answer general event questions
   •   Distribute maps, schedules, or printed materials as needed
   •   Provide a welcoming and helpful presence throughout the event
   •   Relay participant needs or concerns to the Event Director or Volunteer Coordinator

Skills Needed:
   •   Friendly, approachable, and enthusiastic personality
   •   Strong communication and people skills
   •   Knowledge of event layout and schedule (training provided)
   •   Patience and positivity when working with large crowds

Production Team ( Stage & Ceremony)

At least 3 more volunteers needed.

Details

Role Purpose:
Ensure the event runs smoothly behind the scenes by supporting staging, audio/visual needs, and program flow throughout the day.

Responsibilities:
   •   Assist with stage set-up (podium, microphones, banners, signage, decorations)
   •   Support audio/visual equipment setup, testing, and transitions (music, slides, videos)
   •   Coordinate with emcee, performers, speakers, and program leads to ensure smooth timing
   •   Manage cues for performances, ceremonies, and program elements
   •   Troubleshoot small technical issues or quickly relay needs to the technical lead
   •   Assist with tear-down and safe packing of equipment after the event

Skills Needed:
   •   Organized and detail-oriented
   •   Comfortable with basic stage, sound, or tech support (training provided)
   •   Calm under pressure and able to adapt quickly
   •   Team player who can communicate clearly with staff, vendors, and performers

Event T-shirt Pick-Up Table

Role Purpose:
Make sure every participant, survivor, and volunteer receives their event T-shirt with ease, keeping the process organized and fun.

Responsibilities:
   •   Set up and organize T-shirt tables by size before participants arrive
   •   Distribute T-shirts to registered participants, survivors, and volunteers
   •   Keep track of inventory
   •   Maintain a tidy and welcoming distribution area
   •   Assist with breakdown and packing of remaining shirts after the event

Skills Needed:
   •   Friendly and approachable personality
   •   Organized and detail-oriented
   •   Comfortable standing and interacting with large groups
   •   Ability to follow instructions and manage supplies

Kids Activities Helpers

At least 2 more volunteers needed.

Details

Role Purpose:
Create a fun, safe, and engaging space for children by assisting with games, crafts, and activities.
Responsibilities:
   •   Help set up and organize the kids’ activity area before the event begins
   •   Assist children with games, nd other hands-on activities
   •   Supervise play areas to ensure a safe and welcoming environment
   •   Engage children with patience, kindness, and enthusiasm
   •   Distribute supplies (crayons, craft items, prizes, etc.) and help with clean-up
   •   Support parents/guardians by providing direction and a friendly presence

Skills Needed:
   •   Enjoy working with children and families
   •   Friendly, patient, and energetic personality
   •   Ability to follow safety guidelines and instructions
   •   Creativity and enthusiasm for games, crafts, and interactive fun

Security Team

At least 8 more volunteers needed.

Details

Responsibilities:
   •   Monitor entrances, exits, and key areas of the event site
   •   Provide directions and assistance to participants in a calm, friendly manner
   •   Help manage crowd flow and ensure walk routes remain clear
   •   Report any safety or medical concerns to the Event Director or Emergency/Medical Team immediately
   •   Support lost-and-found or reunification of children with parents/guardians
   •   Assist with enforcing event policies (no unauthorized vehicles, restricted areas, etc.)
   •   Remain visible, approachable, and proactive in preventing issues before they arise

Skills Needed:
   •   Responsible, alert, and attentive to surroundings
   •   Strong communication and conflict-resolution skills
   •   Ability to remain calm under pressure
   •   Friendly but firm presence when giving directions
   •   Prior security or safety experience (a plus, but not required)

Greeters & Information Station

First Aide and Wellness Support

Details

Responsibilities:
   •   Staff the First Aid/Wellness station and be visible along the walk route
   •   Provide basic first aid (band-aids, ice packs, rest area support, etc.) as needed
   •   Monitor participants for signs of fatigue, dehydration, or medical distress
   •   Direct serious cases immediately to the on-site medical team or emergency responders
   •   Hand out water, sunscreen, or wellness items if applicable
   •   Keep a calm, reassuring presence for participants experiencing stress or discomfort
   •   Document any incidents and report to the Event Director or Safety Lead

Skills Needed:
   •   Background in healthcare, CPR/First Aid certification (preferred but not always required)
   •   Attentive, calm, and compassionate demeanor
   •   Strong communication and teamwork skills
   •   Ability to act quickly and responsibly in case of emergency

Social Media Team

At least 2 more volunteers needed.

Role Purpose:
Help spread the word, capture the excitement, and share the impact of our event online! Social Media Volunteers play a key role in raising awareness, engaging the community, and showcasing the heart of the event in real time.

Responsibilities:
   •   Create engaging posts before, during, and after the event (Facebook, Instagram, TikTok, X, etc.)
   •   Capture live content on event day (photos, videos, reels, stories)
   •   Share highlights of speakers, walkers, survivors, and special moments
   •   Post updates and tag sponsors, vendors, and partner organizations
   •   Monitor event hashtags and interact with participants’ posts (likes, comments, shares)
   •   Work closely with the Volunteer Coordinator and Media Team to stay on brand

Skills Needed:
   •   Comfortable using social media platforms
   •   Photography or video skills (a plus, not required)
   •   Creativity and a good eye for capturing meaningful moments
   •   Friendly, approachable, and able to interact with participants
